At Rediscover Nature we take your privacy seriously.

We record, process and keep personal information about you in accordance with Article 6 of the General Data Protection Regulation (GDPR, May 2018): ‘the rights of the data subjects’. It is a requirement of our registration with the Information Commissioners Office (ICO) to provide you with information about the details that we hold about you. What information to we collect about you

When you order a product from us:

You will be asked for your contact and payment details when you place an order from our website.

When you book a Rediscover Nature event directly through us:

You will be asked for your name, phone number, and email address. You may also be asked for your postal address. For an in-person event, we will also ask whether you are willing to appear in any photographs that are taken on the day, and may ask for details about any medical or dietary requirements. If someone has an accident then this will be recorded in our accident forms.

If booking via an external provider, the above is likely to still apply, but please refer to their privacy policy for details.

When we provide a bespoke package (e.g. walk & talk, or survey & report):

We will record your name, email address and phone number where relevant. Where relevant we may also ask whether you are happy for photographs to be taken on the day. If someone has an accident then this will be recorded in our accident forms.

If you choose to sign up to our mailing list:

You will be asked to provide your name and email address.

Cookies

Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website and to compile statistical reports on website activity.

What is the purpose of collecting this data

When you place an order

  • Enable us to process your order and provide you with the item you have purchased.

For events and bespoke packages the purpose is to:

  • Enable us to contact you by phone or email to provide you with important details about the event or package (such as equipment you may need to bring).
  • Enable us to contact you by phone or email in the unlikely event that the event or package needs to be postponed or cancelled, or if there is a problem with your event booking.
  • Provide you with event materials via Royal Mail post if the event you are booked onto includes these.
  • Ensure that photographs taken only include identifiable images of participants who have provided permission for their photograph to be taken.
  • Ensure that any specific needs are catered to on the day.

If you choose to sign up to our mailing list, the purpose of collecting your name and email is to:

  • Provide you with any promotional items you may have signed up for.
  • Provide you with an electronic newsletter containing interesting nature-based information.
  • Keep you updated with relevant news and future events we think you may wish to book onto.

Please note that if you wish to ‘unsubscribe’ from the mailing list you can do so by clicking the link at the bottom of each email.

What do we do with this data and with whom is it shared

The information we collect about you is treated confidentially and will never be shared with third parties. Only Rediscover Nature staff will have access to personal information, unless permission is granted by you for any other purpose.

Information collected by use allows us to communicate with you; ensure we meet individual’s needs, comply with our emergency procedures; assess marketing needs and keep up to date financial records. Our financial records may be shared with HMRC.

If you give permission for photographs to be taken that include you, these may be used for promotional purposes such as on our website, on social media or on our email newsletter. Only images where all the people visible and identifiable have provided permission will be kept and may be used. No names will be attached to these images.

Data processing

Online data collection is managed by WooCommerce (for online purchases), BookWhen (for events booked directly through us) and Mailer Lite (for our mailing list). These are password protected systems and comply with GDPR regulations.

When you purchase an item from our website, the payment is entirely managed by WooCommerce – we have no access to your financial or banking details at any point.

Contact details of people making enquiries are kept in the Rediscover Nature outlook account.

Our website, through which people can make enquiries, is processed by WordPress, which collects statistics on visits. Facebook and Instagram, through which people can make enquiries, will also collect statistics on visits. These are GDPR compliant – please refer to their individual privacy statements.

Texts are received and sent on a mobile phone, and phone numbers may be saved in the address book.

Data is accessed by Rediscover Nature staff on their laptop and mobile phone, both of which are password protected.

Paper accident forms will be kept in a folder at Katherine’s house.

Our website may contain links to other websites. This privacy policy only applies to this website, so when you link to other websites you should read their own privacy policies.

How long we keep your data, and deletion of records

Your records will be deleted once the account has not been used for 18 months. Paper accident forms will be kept for 3 years and then shredded and recycled.

You have the right to ask for information about you to be deleted (the ‘right to erasure’ in GDPR). However, if we need to keep information because it is legally required (for example by HMRC) then exceptions apply.
